Introduction
This procedure explains how to exercise data-protection rights. The available right depends on the processing and lawful basis; rights are not absolute in every circumstance.
Section 1 — Available requests
1.0.1 You may ask for access to personal data, correction, deletion, restriction, portability, objection, withdrawal of consent or information about qualifying automated decisions.
Section 2 — How to submit a request
2.0.1 Use our privacy request and complaint form or email sales@premium-hosting.co.uk. State your name, account/contact details, the right you wish to exercise and enough detail to locate relevant records.
2.0.2 Do not send passwords, payment-card details or full identity documents unless we specifically request an approved method.
Section 3 — Verification and authority
3.0.1 We may request proportionate information to confirm identity, particularly where disclosure could expose account, billing, domain or service data.
3.0.2 An authorised representative must provide evidence of authority. We may also confirm the request directly with the individual.
Section 4 — Response process
4.0.1 We normally respond without undue delay and within one month after receiving a valid request and any reasonably required verification.
4.0.2 For a complex request or multiple requests, law may allow an extension of up to two further months. If used, we will explain this within the initial month.
4.0.3 Requests are normally free. We may charge a reasonable fee or refuse a manifestly unfounded or excessive request where law permits, explaining the decision.
Section 5 — Scope and exemptions
5.0.1 We may withhold or redact information concerning another person, legal privilege, crime prevention, confidential references or another statutory exemption. We will explain the basis unless law prevents us.
5.0.2 Where we process data only for a business customer, we may refer the request to that customer as controller and assist it under our Data Processing Agreement.
Section 6 — Delivery, records and complaints
6.0.1 Responses are provided securely and in a commonly used electronic form unless another suitable method is agreed.
6.0.2 We keep a proportionate record of the request, verification, searches, decisions and response. You may challenge the outcome through our complaint route or complain to the ICO at ico.org.uk.
Section 7 — Changes
7.0.1 We update this procedure when our request channels, systems or legal obligations change. Personal data used to handle requests is governed by our Privacy Policy.
